Advice to Organisers Organising an Event

New events are always welcome - particularly in areas of the country where AUK is under represented and during holiday seasons and winter. There are classic events established in the Calendar so prospective organisers should bear in mind that they will need to build up local interest in their ride.

Some events attract riders because they are easy, others because they are a challenge. If you are a member of a CTC DA or cycling club and can enthuse your clubmates then you have an established clientele but even an individual or a few friends can run an event. Posters in cycle shops and sports halls attract members of the public and it always pays to advertise your event when riding other people’s. Providing accommodation - youth hostel or local hall - attracts away riders. If you are a CTC member you can be guaranteed away riders if you submit your ride to the District Association Tourist Competition (DATC) but you will have to get permission from your local DA.

Obviously, when choosing a Calendar date you will avoid clashing with established dates in your club’s calendar as well as nearby AUK events. Please note that, as an organiser of an AUK event, you must be a member of AUK. An organisers’ information pack can be obtained from Events Secretary. If yours is the first AUK event in the area then please try and start with at least a 200km and use the Populaires - 50, 100, 150km - as supporting events to encourage novices. When calculating your entry fee, bear in mind the current brevet and validation charges and also your insurance position: Organisers' Dues

ENTRY FORMS You must use the exact wording of the current AUK Entry Form which has been approved by our insurers. When this is updated, destroy previous forms.

ORDERING CARDS All AUK Calendared events use official AUK cards and the Brevet Card Secretary MUST know your requirements at least 14 days before your event. If you do not liaise until it is too late you will be liable to a surcharge. If you have difficulty estimating requirements, double the number of entries two weeks before your event. Additionally, you can order some cards as blanks and any surplus can be used in subsequent events.
